Job Title: Systems Specialist
Department: Operations
Reports to: Head of Operations
Location: Somerset West (Hybrid Role)

Job Purpose:
The Systems Specialist is a key role responsible for maintaining the integrity, functionality, and integration of core business systems. With platforms like Cin7 Core/DEAR, Shopify, and Xero at the heart of our operations, this role ensures accurate data management and seamless business processes. The Systems Specialist will play a vital role in supporting business continuity and operational visibility.

Key Responsibilities:
System Management and Maintenance:

• Manage and oversee all core business systems (Cin7 Core, Shopify, Xero), ensuring optimal configuration and integration.
• Maintain data accuracy and consistency across inventory, financial, and sales channels.
• Monitor system performance, troubleshoot issues, and escalate to external support when necessary.
• Implement system upgrades, new features, and enhancements, including testing and training.
• Support integrations with third-party tools and services, ensuring they are secure and efficient.
• Data Integrity and Reporting:
  Monitor data flows between systems, identifying and resolving discrepancies.
• Ensure timely and accurate reporting across business functions, including Operations, Finance, Retail, and E-commerce.
• Build and maintain SOPs and documentation for system use and maintenance.

Cross-Functional Collaboration:

• Act as the primary point of contact for system-related issues, liaising with relevant internal and external stakeholders.
• Work closely with Operations, Finance, Retail, and E-commerce teams to align systems with business needs.
• Facilitate user training and support, promoting system best practices.
• Continuous Improvement and Automation:
  Proactively identify opportunities for automation and efficiency improvements.
• Develop processes to minimise manual data entry and reduce the risk of errors.
• Stay updated with industry trends to propose innovative solutions.

Data Security and Compliance:

• Implement data security measures and maintain user access control.
• Ensure compliance with data protection regulations.
• Collaborate with external vendors (e.g., Cin7 Core consultants, Xero accountants) when necessary to optimise system performance.

Key Requirements:
Qualifications:

• Bachelor's degree in Information Systems, Business Administration, or a related field.
• Relevant certifications in systems management or data integration are advantageous.

Experience:

• Minimum of 3 years of experience in a systems specialist or similar role.
• Proven experience managing systems like Cin7 Core, Shopify, and Xero.
• Experience in data management and integration within a retail or e-commerce environment.

Skills and Competencies:

• Strong technical aptitude with the ability to manage complex system integrations.
• Excellent problem-solving skills and attention to detail.
• Proficient in data analysis and report generation.

Work Environment:

About the Role
As Head of Performance, you will report to Stef (Chief Marketing Officer and Co-
founder) and lead all aspects of paid advertising, digital strategy, data analytics,
and performance marketing. Your goal? To scale revenue, optimise ROI, and turn
data into actionable insights that drive success across all digital channels.

Key Responsibilities

Performance Marketing & Paid Media:

● Develop and execute a high-impact paid media strategy across Meta, Google,
TikTok, and emerging platforms.
● Optimise ad spend efficiency to drive growth, engagement, and revenue.
● Continuously test and iterate on ad creative, audience segmentation, and bidding
strategies.
Analytics & Conversion Optimisation:
● Own and analyse key performance metrics across all digital marketing
channels.
● Implement A/B testing strategies to improve conversion rates and customer
acquisition costs.
● Use data-driven insights to refine campaigns and drive continuous improvement.
E-Commerce Growth & Funnel Optimization:
● Improve the customer journey from ad click to checkout, ensuring seamless

Collaboration & Leadership:

What We’re Looking For:
● 5+ years experience in performance marketing, paid media, or e-commerce
growth.
● Proven track record of scaling paid ad campaigns with strong ROAS.
● Deep knowledge of Google Ads, Meta Ads, TikTok Ads, and emerging
platforms.
● Strong analytical skills and experience with GA4, attribution models, and
marketing analytics.
● Experience in A/B testing, CRO, and digital funnel optimisation.
